Passenger Information Form

Once you have booked your trip, the first thing you need to do is complete a passenger information form, or PIF, for each passenger in your party. We use this information to create all your travel documents, airline reservations and so forth, and to make sure you receive the information and documents you need in a timely manner. Secure Flight Program

The Transportation Security Administration (TSA) has implemented a new policy, Secure Flight Program, that requires specific passenger data to be collected and provided prior to your flight departure. Under Secure Flight, airlines will gather a passenger’s full passport name, date of birth and gender when making an airline reservation to determine if the passenger is a match to the No Fly or Selectee lists.

It is very important that your full name matches your passport exactly, including any middle names. By providing this information in advance, most passengers will not experience any differences from the way they traveled before. It is important to ensure the data provided exactly matches the document presented at time of check-in. This information will be required in order for a boarding pass to be issued by the airline; if this data is not provided or is incorrect, it could cause a delay during the check-in process. Travel Documentation

Please remember to obtain all required travel documents prior to departure and check your documentation carefully to avoid incurring costs associated with delays, losses or obtaining documents while traveling. When traveling abroad, your passport must be valid for at least 6 months following your visit. Guests are advised to check with their travel agent or the U.S. Consulate Service to determine which documents they must obtain. If incorrect documents are obtained, guests will be unable to participate in particular shore excursions and may be denied boarding and/or entry into certain countries.

Passports

Due to airline security measures, your passport name must match your airline ticket name or you may be denied boarding. Your passport’s expiration date must be at least six months after your return from your trip; if it is not, you should renew your passport.

Visas

If you are traveling with us to China, Russia or Egypt, you will need a visa. As a service to guests, visas are available from an independent third party upon request. If you would like to obtain your visa through our partner, please visit their website here and download a visa kit. Complete and return the forms to the visa company in a timely manner so that you will have your documentation in time to travel—the timing is explained within the kit instructions. Should you decide to obtain a Russian visa directly instead of using the kit, you will need to contact Viking River Cruises for an Invitation Letter. You may download a Request Form for this letter here. If you are traveling to Egypt, you may either obtain your visa in advance or purchase it upon arrival at the exchange counter in the airport arrival area before immigration. Payment can be made in Egyptian pounds, American dollars or by credit card; the cost is $15 US or about 85 Egyptian pounds.

Pre-trip information

Shortly after you make your reservation, you will receive a letter and invoice by mail along with a small packet of pre-trip information. Distribution of travel documents

Tickets and other travel documents will be issued approximately 3 weeks prior to departure. All early document requests will be charged a $25 early processing fee. Transfers

Roundtrip airport-to-ship transfers are only included when air is purchased with a tour package. Transfers are only valid on tour departure and arrival dates. If you should choose to make your own air arrangements, transfers may be purchased through Viking River Cruises up to 30 days before departure for an additional cost (download a request form here), or you may make your own transfer arrangements. Travel Protection Plan

Even after planning and booking a vacation with Viking, an emergency or illness may cause you to cancel or delay your trip. We certainly hope this does not happen, but if it should, please make sure you are protected. We now offer the Viking Travel Protection Plan for all departures.

Cost of the Program

The cost of coverage depends on the cost of your trip. Here are the costs per person. Remember, you must purchase the coverage within 14 days of your initial trip deposit (or add it within 14 days of booking if full trip payment was required at time of booking), and not be disabled from travel at time of payment, in order to qualify for the pre-existing condition waiver.
